Pickup Roster

Where to find it: Reports > Pickup Roster

Last Updated: 2026-10-15

Overview

The Pickup Roster is a printable, time-ordered sheet of everyone coming to collect a box in a chosen week. It is built for stores that run pickup appointment slots, so the person at the pickup table can work straight down the list of 10-minute windows instead of hunting through orders.

Each order on the sheet shows who is coming, which box they ordered, any add-ons, and their order notes, with a one-click check-in to mark them as collected.

Primary Features

Choose the pickup week

A Pickup week dropdown at the top lists the recent weeks (newest first) and reloads the page when changed. The most recent week is selected by default, so in normal use the sheet is already showing the current pickup.

Grouped by location, then by time slot

Orders are grouped under the pickup location they are assigned to, and within a location they are grouped into time slots in time order:

  • Each slot heading reads as Location name · 10:00am - 10:10am, with "3 / 4 booked" on the right so you can see how full the window is.
  • Orders that have not chosen a time slot yet appear at the end of their location, under "No time slot chosen yet".

The order list

Each row shows:

  • A checkmark column (blank until the order is checked in)
  • Customer - name, phone number, and the order number
  • Box - the box tier ordered
  • Add-ons - any add-on products on the order
  • Notes - the order's notes/instructions
  • Check-in - the button used to mark the customer as collected

Check-in

Click Check in on a row as the customer collects their box. The row turns green with a checkmark, and the button reads Checked in so it is obvious the order is done. Clicking it again undoes the check-in.

A summary line next to the Print button always shows the week's totals, for example "18 pickups, 7 checked in".

Printing

Print roster prints the sheet. The admin menus, header and footer, and the check-in column are left off the printed page, so what comes out of the printer is just the locations, slots and customers.

Common Use Cases

Run the pickup table

  1. Open the roster for the current week.
  2. Print it, or work from the screen.
  3. As each customer arrives, click Check in on their row.
  4. Watch the "checked in" count to see who is still outstanding.

See who has not chosen a time yet

Orders that have not picked a slot are collected under "No time slot chosen yet" at the end of each location, so you can chase those customers before pickup day.

Look back at a past week

Choose an earlier week in the Pickup week dropdown to see that week's list and who was checked in.

Troubleshooting

"No pickup orders for this week yet"

There are no orders for the selected week that are assigned to a pickup location (and not cancelled). Check the Pickup week dropdown first, then confirm the orders exist and are assigned to a pickup location.

The page says pickup appointment slots are not enabled

The store is not set up for pickup appointment slots. Turn the Pickup Appointment Slots option on, then set up a pickup location and its time slots on the Pickup Locations page. The message links straight to that page.

A customer is listed under "No time slot chosen yet"

That order has not been given a pickup time. The customer can choose one from their account, or you can assign it in the order.

A slot is missing from the sheet

Slots are grouped by the pickup location the order is assigned to. If an order is on a different location than you expected, its slot will show under that location instead.
