Overview¶
The Pickup Locations page manages customer pickup locations for self-pickup orders. Create, edit, and organize pickup sites where customers can collect their orders instead of home delivery.

- View customer counts per location
- Enable/disable locations

Create and maintain pickup locations with complete address, contact, and schedule information.

View how many customers are assigned to each pickup location. Access customer list for each location.

Set specific pickup days and time windows for each location. Supports different schedules per location.
Capacity Management¶
Set maximum customer capacity for each location to prevent overcrowding.
Common Use Cases¶
Use Case 1: Add New Pickup Location¶
Goal: Create new pickup site for customers
Steps:
- Click "Add New Pickup Location"
- Enter location name (e.g., "Main Street Community Center")
- Enter complete address
- Add contact person name and phone
- Set pickup schedule (e.g., "Tuesdays 3-6pm")
- Add special instructions (parking, entrance, etc.)
- Set capacity limit if applicable
- Set status: Active
- Click Save
- Verify location appears in list
Use Case 2: Update Pickup Schedule¶
Goal: Change pickup times for existing location
Steps:
- Find location in list
- Click Edit button
- Update pickup schedule fields
- Add note explaining change
- Click Save
- Email affected customers about schedule change
- Verify customers receive notification
Use Case 3: View Customers at Location¶
Goal: See which customers use specific pickup location
Steps:
- Find location in table
- Click customer count number
- View customer list
- Export list if needed
- Contact customers if necessary
Use Case 4: Temporarily Disable Location¶
Goal: Close location temporarily (holiday, maintenance, etc.)
Steps:
- Edit pickup location
- Change status to Inactive
- Add note explaining reason
- Save changes
- System notifies affected customers
- When ready to reopen:
- Edit location
- Change status back to Active
- Save
Use Case 5: Manage Location Capacity¶
Goal: Prevent overcrowding at popular location
Steps:
- Edit pickup location
- Set capacity limit (e.g., 50 customers)
- Save location
- Monitor customer count
- When limit reached:
- New customers see "Location Full"
- Must choose different location
- Adjust capacity as needed
Troubleshooting¶
Customers Can't Select Pickup Location¶
Symptoms:
- Location doesn't appear in customer's location dropdown
- Customers report location missing
- Can't complete order with pickup
Check:
- Verify location status is Active
- Check if location capacity is full
- Verify location has pickup schedule set
- Confirm location address is complete
- Check if location is available for customer's delivery day
- Verify no conflicts with delivery area
Too Many Customers at One Location¶
Symptoms:
- Location overcrowded
- Customers complaining about long wait times
- Pickup chaos
Solutions:
- Set capacity limit to prevent new signups
- Add second pickup time slot
- Open additional nearby pickup location
- Email customers suggesting alternative locations
- Adjust capacity based on actual traffic

- Pickup times incorrect in emails

FAQs¶
Can customers change their pickup location?¶
Yes, customers can change their assigned pickup location through their account settings or by contacting support.
What happens if I delete a location with customers assigned?¶
System will require you to reassign those customers to different locations before deletion. Don't delete active locations abruptly.
Can one location have multiple pickup times?¶
Yes, add multiple pickup windows in the schedule field. Example: "Tuesdays 2-5pm and Saturdays 10am-1pm"
How do customers know where to pick up?¶
Pickup location details are shown during signup, in order confirmations, and in weekly order emails. Include clear directions.
Can I limit pickup locations by zip code?¶
Yes, pickup locations can be configured to show only for specific delivery areas or zip codes. Contact administrator for geo-restrictions.
What if a pickup location becomes permanently unavailable?¶
Mark as Inactive, reassign all customers to alternative locations, wait 30 days to ensure all orders fulfilled, then delete the location.
