Overview

The Sidebar Stats page displays historical snapshots of key business metrics captured weekly. View trends in subscriptions, orders, revenue, and other important KPIs over time.

Primary Functions:

  • View weekly business metric snapshots
  • Track subscription and order trends
  • Monitor revenue progression
  • Compare actual vs projected costs
  • Analyze business growth patterns
  • Export historical data

Page Layout

Header Section

  • Page title and description
  • Save Actual Costs button (for financial tracking)
  • View toggle (Narrow Table / Full Table)
  • Show/Hide Deleted toggle

Stats Table

  • Week starting date
  • Subscription counts (Active, Cancelled, Pending, Stopped)
  • Order counts (Weekly, One-time, Total)
  • Revenue metrics (Actual, Projected, Estimated)
  • Customer counts (New, Total, Cancelled)
  • Product statistics
  • Gift certificate totals
  • Actual costs field (editable)

Primary Features

Weekly Snapshots

Automatically captures complete snapshot of business statistics each time a new delivery week is started. Creates permanent historical record.

Trend Analysis

Compare metrics week-over-week to identify growth patterns, seasonal trends, and business changes.

Cost Tracking

Enter actual weekly costs to compare against projected/estimated costs. Calculate profit margins and efficiency ratios.

Historical Data

Access statistics from May 2017 onwards (when feature was deployed). Export for external analysis.


Common Use Cases

Use Case 1: Enter Actual Weekly Costs

Goal: Record actual costs for profit analysis

Steps:

  1. Navigate to Sidebar Stats
  2. Find current or recent week
  3. Locate "Actual Costs" column (input field)
  4. Enter actual weekly costs (e.g., 5420.50)
  5. Click "Save Actual Costs" button
  6. Review "Actual/Projected ratio" column
  7. Track ratio trends over time

Analysis: Ratio >100% means costs higher than revenue. <100% means profitable week.

Use Case 2: Track Subscription Growth

Goal: Monitor subscription trends over time

Steps:

  1. Navigate to Sidebar Stats
  2. Focus on "Subs Active" column
  3. Note subscription counts for last 12 weeks
  4. Export to CSV for graphing
  5. Calculate week-over-week growth rate
  6. Identify growth or decline patterns

Goal: Analyze revenue progression

Steps:

  1. View Full Table to see all revenue columns
  2. Compare "Actual" revenue across weeks
  3. Note seasonal patterns (holidays, summer, etc.)
  4. Compare to previous year's same weeks
  5. Identify outlier weeks for investigation

Use Case 4: Generate Monthly Report

Goal: Create monthly executive summary

Steps:

  1. Filter to last 4-5 weeks
  2. Export to CSV
  3. Open in Excel
  4. Calculate monthly totals:
    • Total revenue
    • New customers
    • Cancelled customers
    • Net subscription change
  5. Create charts and summary
  6. Present to stakeholders

Use Case 5: Investigate Week Anomaly

Goal: Understand unusual week statistics

Steps:

  1. Identify week with unexpected numbers
  2. Review all metrics for that week
  3. Check for:
    • System issues or downtime
    • Special promotions
    • Holiday impacts
    • Data collection errors
  4. Compare to surrounding weeks
  5. Mark week with note if needed
  6. Delete row if data corrupted

Troubleshooting

Missing Week Data

Symptoms:

  • Expected week not showing in table
  • Gap in weekly progression
  • Recent week missing

Check:

  1. Verify new week was started on Weekly Cycle page
  2. Snapshots only created when week officially started
  3. Check if row was deleted (toggle "Show Deleted")
  4. If week not started, no snapshot exists yet
  5. Contact administrator if week started but data missing

Actual Costs Won't Save

Symptoms:

  • Enter costs but they don't persist
  • Click Save but values revert
  • Error message appears

Check:

  1. Verify you have Administrator access
  2. Ensure you're using numbers only (no $ or commas)
  3. Use decimal point for cents (5420.50, not 5420.5)
  4. Check you clicked "Save Actual Costs" button
  5. Refresh page to verify save
  6. Try different browser if persistent

Statistics Don't Match Dashboard

Symptoms:

  • Numbers in Sidebar Stats differ from current Dashboard
  • Metrics don't align with reality

Explanation:

  • Sidebar Stats are HISTORICAL SNAPSHOTS
  • Captured at moment new week was started
  • Current Dashboard shows REAL-TIME data
  • They will always differ as business changes

This is expected behavior - use Sidebar Stats for historical trends, Dashboard for current status.


  • Dashboard - Current real-time business metrics
  • Weekly Cycle - Manage delivery weeks and trigger snapshots
  • Weekly Report - Detailed weekly order reports
  • Revenue Per Customer - Customer-level revenue analysis

Best Practices

Cost Tracking

  1. Enter actual costs within 3 days of week end
  2. Include all relevant costs (COGS, labor, overhead)
  3. Use consistent cost calculation method
  4. Document what's included in costs
  5. Track ratio trends monthly

Data Analysis

  1. Export monthly for detailed analysis
  2. Look for patterns over 12+ weeks
  3. Compare year-over-year trends
  4. Investigate significant outliers
  5. Share insights with team

Data Quality

  1. Don't delete rows unless data truly invalid
  2. Use "Narrow Table" for quick overview
  3. Switch to "Full Table" for deep analysis
  4. Keep deleted rows hidden normally
  5. Document any data corrections in notes

Reporting

  1. Use this data for investor/board reports
  2. Calculate key metrics monthly
  3. Track subscription churn rate
  4. Monitor revenue per subscription
  5. Identify seasonal patterns for planning

FAQs

Why is there no data before May 2017?

This feature was deployed on May 17, 2017. Data before that date was not captured. Historical data collection started from deployment.

When are snapshots created?

Snapshots are automatically created each time a new delivery week is started on the Weekly Cycle page (either manually or automatically).

What should I include in Actual Costs?

Include all direct costs for the week: product costs, packaging, labor, delivery, and overhead. Use consistent methodology each week for accurate trends.

Can I edit old statistics?

No, you can only enter/edit Actual Costs. All other statistics are locked historical snapshots. Don't delete rows unless data is truly corrupted.

Why don't statistics match my accounting records?

Sidebar Stats capture business metrics at specific point in time (week start). Accounting records may use different cutoff dates or include refunds/adjustments processed later.

How is the Actual/Projected ratio calculated?

Ratio = (Actual Costs / Actual Revenue) × 100. Values below 100% indicate profitable week. Above 100% means costs exceeded revenue.
