Understanding Retail Price Calculations

What This Report Calculates

This report uses retail pricing to value all products, regardless of whether they were part of a subscription box or added as extras. This approach provides a standardized way to compare product performance.

Included in Calculations:

  • Subscription box items valued at retail price
  • Customer-selected addon items at retail price
  • All active product categories with sales

Not Included:

  • Subscription fees themselves
  • Delivery charges
  • Taxes
  • Discounts or promotions

Why Retail Pricing: This methodology allows you to see the "shelf value" of products moving through each route, making it easier to compare different product types and routes on equal footing.

Actions & Operations

Generating a Weekly Report

Purpose: Analyze product sales for a specific delivery week

Steps:

  1. Select the desired week from the Week dropdown
  2. Click the "Submit" button
  3. Wait for the report to generate (may take 10-30 seconds)
  4. Scroll through route sections to review data

Requirements:

  • At least one completed order for the selected week
  • Products must have retail prices configured

Comparing Routes

Purpose: Identify which routes have different product preferences

Steps:

  1. Generate report for desired week
  2. Review product quantities for your first route
  3. Scroll to next route section
  4. Compare the same product categories between routes
  5. Note which routes have higher sales for specific categories

Example: Route A shows 45 units of organic apples while Route B shows 12 units. This indicates Route A customers have stronger preference for organic apples, which can inform future product selection and marketing.

Category Performance Analysis

Purpose: Understand which product types generate most sales value

Steps:

  1. Generate report for recent week
  2. Review "Total Category" amounts throughout the report
  3. Identify categories with highest dollar amounts
  4. Compare category performance across different routes
  5. Use insights for inventory planning and product selection

Common Use Cases

Use Case 1: Route-Specific Product Planning

Goal: Customize product offerings based on route preferences

Steps:

  1. Run report for last 4 weeks (one at a time)
  2. Track which categories perform best on each route
  3. Identify consistent patterns across multiple weeks
  4. Adjust product selection to match route preferences
  5. Monitor changes in future weeks

Example: North Route consistently shows high sales in "Organic Vegetables" category while South Route shows higher "Fruits" category sales. Consider offering more vegetable variety on North Route and more fruit options on South Route.

Tips:

  • Look for patterns over multiple weeks, not single-week anomalies
  • Consider demographic differences between routes
  • Test changes gradually rather than making drastic shifts

Use Case 2: Inventory Allocation

Goal: Distribute limited-quantity products to routes where they'll perform best

Steps:

  1. Run report for recent weeks
  2. Identify high-value specialty products
  3. Note which routes show strongest sales for these products
  4. When inventory is limited, prioritize allocation to top-performing routes
  5. Track results to validate allocation decisions

Example: You have limited supply of premium strawberries. Report shows West Route sells 3x more strawberry items than other routes. Allocate larger strawberry portions to West Route boxes.

Use Case 3: Marketing Campaign Effectiveness

Goal: Measure if product promotions are working on specific routes

Steps:

  1. Run report for week before promotion launch
  2. Note baseline sales for promoted product category
  3. Run report for weeks during promotion
  4. Compare promoted product quantities and amounts
  5. Calculate promotion impact by route

Tips:

  • Run reports for control routes (without promotion) to compare
  • Track both quantity sold and total dollar amount
  • Consider if increased sales justify promotion costs

Troubleshooting

No Data Appears for Selected Week

Symptoms: After selecting a week and clicking Submit, no route sections appear.

Solutions:

  1. Verify that orders were placed and delivered during selected week
  2. Check that week selection is not too far in the past or future
  3. Confirm orders are marked as completed, not cancelled
  4. Try selecting current or previous week

Common Causes:

  • Selected week with no order activity
  • All orders for week were cancelled
  • Week selected before business started using system

Products Missing Prices

Symptoms: Some products show in quantity column but have $0.00 for price or amount.

Solutions:

  1. Navigate to product catalog/menu management
  2. Find products showing zero price
  3. Add retail prices for missing products
  4. Regenerate report

Check:

  1. Product catalog for retail price settings
  2. Whether products are marked as available for addon purchase
  3. Recent product additions that may not have pricing yet

If Problem Persists: Contact Kiva Logic support to review product pricing configuration and ensure all products have appropriate retail prices set.

Category Totals Don't Match Expectations

Symptoms: Category subtotals seem incorrect or don't match your mental calculations.

Solutions:

  1. Remember this report uses retail prices, not subscription prices
  2. Verify individual product prices in the product catalog
  3. Check if some box products have different retail prices than expected
  4. Manually verify a few calculations: Quantity × Price = Amount

Common Causes:

  • Confusion between subscription pricing and retail pricing
  • Recent price changes in product catalog
  • Special pricing for certain customer groups not reflected in report

  • Wholesale vs Revenue Report (wholesale-actual-report.php) - Compare costs to revenue by route
  • Product Addon Detail Report (product-addon-detail-report.php) - Track specific product sales over time
  • Order Count Report (order-count-report.php) - Customer order volume analysis
  • Future Demand Report (admin_reports.php) - Forecast upcoming product needs

Typical Workflow:

  1. Sales per Route Report → Identify top categories → Product Addon Detail → Deep dive on specific products
  2. Notice category shift → Order Count Report → Investigate if customer behavior changed

Best Practices

Report Usage Guidelines

  1. Remember this report is in Alpha - verify critical decisions with other data sources
  2. Run reports regularly (weekly or bi-weekly) to spot trends
  3. Focus on patterns over multiple weeks rather than single-week data
  4. Use retail pricing understanding when interpreting dollar amounts

Analysis Approach

  • Compare same week year-over-year for seasonal insights
  • Look for consistent category leaders across multiple routes
  • Identify route-specific preferences to customize offerings
  • Track how new product introductions perform by route

Data Interpretation

  • High dollar amounts indicate either high prices or high quantities
  • Consider both volume (quantity) and value (amount) when making decisions
  • Remember box items and addons are both included in these calculations
  • Account for route size when comparing absolute numbers between routes

Things to Avoid

  • ❌ Making major business decisions based solely on this Alpha report
  • ❌ Comparing routes without considering customer count differences
  • ❌ Confusing retail pricing with actual customer subscription costs
  • ❌ Reacting to single-week anomalies without investigating causes

FAQs

Why does this report say "Alpha" status?

This report is still being refined and tested. While the data is accurate, Kiva Logic recommends verifying critical decisions with additional data sources until the report moves to production status.

How is this different from revenue reports?

This report uses retail pricing to value all products equally, while revenue reports show actual customer payments. This provides a different perspective for product performance analysis.

Can I see individual customer purchases?

No, this report aggregates all sales by route and category. For customer-specific data, use the Customer Reports or Order History features.

Why do box items show retail prices?

To provide standardized comparison across all products, this report values every item at retail price regardless of how it was sold (in box or as addon).

Should I use this for financial planning?

Not as primary source while in Alpha status. Use established revenue and billing reports for financial decisions, and treat this report as supplementary product performance analysis.
