Lightspeed Product Linker¶

Overview¶
The Lightspeed Product Linker connects Lightspeed Retail products to your existing Kiva Logic products. Once a product is linked, inventory syncs automatically between the two systems. Unlinked products have no effect on your online store.
Primary Functions:
- View imported Lightspeed products
- Link Lightspeed products to existing Kiva Logic products
- Create new Kiva Logic products from Lightspeed entries
- Unlink products to stop syncing
- Remove unwanted Lightspeed products from the list
Page Layout¶
View Tabs¶
Three tabs filter the product list:
- Unlinked -- Lightspeed products not yet connected to a Kiva Logic product. This is the default view and where you do most of your work.
- Linked -- Products already connected. Shows which Kiva Logic product each Lightspeed product is linked to.
- All -- Every imported Lightspeed product regardless of link status.
Each tab shows a badge with the count of products in that view.
Product Table¶
Each row shows:
- Lightspeed Product -- product name, SKU, Lightspeed UUID, and a link to edit it in Lightspeed. Products imported in the last 7 days are marked with a "NEW" badge.
- Suggested Match / Linked To -- depends on the current view (see below)
- Action -- save, unlink, or delete buttons
Linking Products¶
How Suggested Matches Work¶
When viewing unlinked products, the system automatically suggests a Kiva Logic product match based on name similarity. If a match is found, it appears in the "Suggested Match" column.
- If the suggestion is correct, just click Save
- Click change next to a suggestion to search for a different product
- If no match is found, you'll see "No match found" and can search manually or create a new product
Link to an Existing Product¶
- Go to the Unlinked tab
- Find the Lightspeed product you want to link
- Make sure Link to Existing is selected (highlighted green)
- Accept the suggested match, or click change to search for a different product
- Click Save
Create a New Product¶
If the Lightspeed product doesn't have a corresponding Kiva Logic product yet:
- Find the product in the Unlinked tab
- Click Create New (it highlights green)
- Click Save
- The system creates a new product in Kiva Logic and links it automatically
Unlink a Product¶
If you need to stop syncing a product:
- Go to the Linked tab
- Find the product
- Click the Unlink button
- Confirm the action
The product stays in both systems but stops syncing. No data is deleted.
Remove a Product from the List¶
If a Lightspeed product shouldn't be in the list at all (e.g., bags, merchandise, POS-only items):
- Find the product in the Unlinked tab
- Click the trash icon next to the Lightspeed UUID
- Confirm the removal
This only removes it from the linker list. It does not affect anything in Lightspeed.
What Happens After Linking¶
Once a product is linked:
- Inventory syncs in real-time via webhooks when POS sales or inventory changes happen in Lightspeed
- Online orders automatically push updated counts back to Lightspeed
- Hourly full sync catches any missed webhook events
- The product appears in the Linked tab with a green checkmark
Troubleshooting¶
No Products Showing¶
If the Unlinked tab is empty, you need to import products from Lightspeed first. Go to Products > Lightspeed and click Fetch All Products.
Suggested Match is Wrong¶
Click change next to the suggestion to open the product search dropdown. Type to search for the correct product, select it, then click Save.
Can't Find the Right Kiva Logic Product¶
Only permanent, non-option products without an existing Lightspeed link appear in the dropdown. If you can't find a product:
- It may already be linked to a different Lightspeed product
- It may be marked as a product option or non-permanent
- Check the Linked tab to see if it's already connected
"This Lightspeed product is already linked to another Kiva product"¶
Each Lightspeed product can only be linked to one Kiva Logic product. Find and unlink the existing connection first if you need to reassign it.
