Overview

The Create New Box page allows you to define new subscription box types that customers can subscribe to. A box type represents a recurring product bundle with specific pricing, contents, and delivery schedule options.

  • Create new subscription box types
  • Define box pricing and size options
  • Set default box contents
  • Configure box availability and visibility
  • Establish box categorization and marketing

Page Layout

Header Section

  • Page Title: "Create New Box"
  • Save Button: Create the new box
  • Cancel Button: Return without saving

Box Information Form

  • Basic Details: Name, description, pricing

Box Information Fields

Basic Information

Box Name (Required)

  • Purpose: Display name customers see
  • Format: Descriptive and clear (e.g., "Family Veggie Box", "Meat Lovers Bundle")
  • Character Limit: 100 characters recommended
  • Example: "Organic Produce Box - Large"

Internal Name (Optional)

  • Purpose: Admin reference name
  • Usage: Internal identification when different from customer-facing name
  • Example: "PROD-LARGE-V2"

Description (Required)

  • Purpose: Marketing copy explaining the box
  • Format: HTML allowed for formatting
  • Character Limit: 500-1000 characters
  • Best Practice: Highlight benefits, contents overview, who it's for
  • Example: "Perfect for families of 4-6. Includes seasonal organic vegetables, fresh fruits, and artisan bread. Approximately 15-20 lbs of fresh produce delivered weekly."

Short Description (Optional)

  • Purpose: Brief summary for list views
  • Character Limit: 100-150 characters
  • Usage: Appears in box selection grids
  • Example: "Weekly organic produce for families of 4-6"

Pricing Configuration

Price Settings

Base Price (Required)

  • Purpose: Default subscription price
  • Format: Decimal (e.g., 45.00)
  • Currency: USD
  • Best Practice: Price competitively based on contents value

Discount Price (Optional)

  • Purpose: Sale or promotional pricing
  • Usage: Displays as strikethrough with discounted price
  • Example: Regular $50, Discount $45

Trial Price (Optional)

  • Purpose: First-time customer pricing
  • Duration: Usually applies to first order only
  • Example: $25 trial price, then $45 regular

Pricing by Schedule

Different Prices for Different Frequencies:

  • Weekly Price: Price for weekly deliveries
  • Bi-Weekly Price: Price for every-other-week deliveries
  • Monthly Price: Price for monthly deliveries
  • Custom Schedules: Additional schedule pricing options

Example Configuration:

  • Weekly: $45
  • Bi-Weekly: $50 (slightly higher per box)
  • Monthly: $60 (highest per box)

Box Settings

Size and Type

Box Size (Required)

  • Options: Small, Medium, Large, Extra Large, Custom
  • Purpose: Categorization and customer selection
  • Impact: Affects product quantities in default contents

Box Category (Required)

  • Options:
  • Produce Box
  • Meat Box
  • Combo Box (produce + meat)
  • Specialty Box
  • Gift Box

  • Purpose: Organization and filtering
  • Impact: How box appears in customer browsing

Product Type Tags

  • Purpose: Multiple categorization (e.g., "Organic", "Local", "Gluten-Free")
  • Usage: Filtering and search
  • Example: Tags might include "Organic", "Family-Sized", "Vegetarian"

Availability Settings

Active Status (Required)

  • Checkbox: "Active" - Box is available for new subscriptions
  • When Unchecked: Box hidden from customer signup
  • Usage: Temporarily disable without deleting

Display on Website

  • Checkbox: "Show on website"
  • Purpose: Control public visibility
  • Usage: Create box but don't show until ready

Available Routes (Optional)

  • Purpose: Limit box to specific delivery routes
  • Usage: Regional boxes or capacity management
  • Example: "Florida Routes Only"

Subscription Required

  • Checkbox: "Subscription only" vs. "One-time purchase allowed"
  • Purpose: Control purchase type
  • Example: Most boxes are subscription-only

Default Box Contents

Define which products automatically appear in this box type.

Adding Products to Box

Steps:

  1. Click "Add Product" button
  2. Search for product by name
  3. Select product from dropdown
  4. Set default quantity
  5. Set product as required or optional
  6. Click "Add to Box"

Product Settings

Quantity

  • Purpose: How many of this product in each box
  • Format: Decimal allowed (e.g., 1.5 lbs)
  • Variable: Can be different per box size

Required vs. Optional

  • Required: Always included, customer cannot remove
  • Optional: Customer can remove or adjust quantity
  • Best Practice: Make staples required, premium items optional

Substitution Allowed

  • Checkbox: Allow substitution if product unavailable
  • Purpose: Maintain box value when items out of stock

Product Order

  • Purpose: Display order in box contents list
  • Usage: Drag and drop to reorder
  • Best Practice: Put most important items first

Product Quantities by Box Size

Variable Quantities:

  • Small Box: 2 apples
  • Medium Box: 4 apples
  • Large Box: 6 apples

Configuration:

  1. Add product to box
  2. Click "Set Quantities by Size"
  3. Enter quantity for each size option
  4. Save settings

Marketing and Display

Images

Box Image (Required)

  • Purpose: Main product image
  • Format: JPG or PNG
  • Size: 800x800 pixels recommended
  • Usage: Product pages, box selection
  • Best Practice: Show sample box contents

Gallery Images (Optional)

  • Purpose: Additional product photos
  • Format: JPG or PNG
  • Limit: 5-10 images
  • Usage: Customer browsing, detail pages

Display Settings

Sort Order

  • Purpose: Position in box selection lists
  • Format: Number (lower = appears first)
  • Example: Featured box = 1, others = 10, 20, 30

Featured Box

  • Checkbox: "Feature this box"
  • Purpose: Highlight in special sections
  • Impact: Appears in featured box carousel

Limited Availability Badge

  • Checkbox: "Show limited availability"
  • Purpose: Create urgency
  • Example: "Only 50 subscriptions available"

Actions & Operations

Creating the Box

Steps:

  1. Fill in all required fields (marked with *)
  2. Set pricing for desired schedules
  3. Add default box contents
  4. Upload box image
  5. Configure availability settings
  6. Review preview
  7. Click "Create Box" button
  8. System validates all fields
  9. Box created and available immediately (if Active)

Requirements:

  • Box name and description required
  • At least one price required
  • At least one default product recommended
  • Box image required for customer-facing display

Testing New Box

Before Making Active:

  1. Create box with "Active" unchecked
  2. Test internal preview
  3. Verify pricing calculations
  4. Review box contents display
  5. Test subscription flow (if admin test mode)
  6. Activate when ready

Test Checklist:

  • Pricing displays correctly
  • Default products load properly
  • Images show correctly
  • Description formatted properly
  • Mobile view looks good

Cloning Existing Box

Purpose: Create similar box faster

Steps:

  1. Instead of "Create New Box", use "Clone Box" option
  2. Select box to clone
  3. System copies all settings
  4. Modify name and details
  5. Adjust pricing and contents
  6. Save as new box

What Gets Cloned:

  • All settings and configurations
  • Default products and quantities
  • Pricing structure
  • Images and descriptions

What Doesn't Clone:

  • Active subscriptions (new box has none)
  • Historical data
  • Unique identifiers

Use Case 1: Create Seasonal Box

Goal: Launch limited-time fall harvest box

Steps:

  1. Click Create New Box
  2. Enter Name: "Fall Harvest Box"
  3. Write Description highlighting seasonal items
  4. Set Price: $55
  5. Set Schedule: Weekly and Bi-Weekly options
  6. Add default contents:
    • 2 lbs apples
    • 1 butternut squash
    • 1 bunch kale
    • 3 lbs potatoes
    • Seasonal items (optional)
  7. Upload image of fall produce

  4. Set Regular Price: $45
  5. Add smaller quantities of popular items
  6. Mark products as "Required" (standardized trial)

Use Case 5: Clone and Modify Existing Box

Goal: Create "Large" version of existing "Medium" box

Steps:

  1. Find existing Medium box
  2. Click "Clone Box"
  3. Update Name: "Large Veggie Box"
  4. Increase price: $55 (from $45)
  5. Increase all product quantities by 50%
  6. Update image showing larger box
  7. Update description with "Large" specifics
  8. Save as new box

Result: Large box version created quickly without re-entering all details


Troubleshooting

Box Not Appearing in Customer View

Symptoms:

  • Box created but customers don't see it
  • Not appearing in subscription options
  • Search doesn't find box

Check:

  1. Is "Active" checkbox checked?
  2. Is "Display on Website" checkbox checked?
  3. Is box available in customer's delivery route?
  4. Is box category correct?
  5. Are there scheduling/timing restrictions?

Solutions:

  1. Edit box settings
  2. Enable Active status
  3. Enable Website Display
  4. Verify route availability
  5. Check start/end dates if applicable

Pricing Not Calculating Correctly

Symptoms:

  • Wrong price displayed to customer
  • Discount not applying
  • Schedule pricing not working

Check:

  1. Is Base Price entered correctly?
  2. Are schedule-specific prices set?
  3. Is trial price active when shouldn't be?
  4. Are there customer-specific discounts interfering?

Solutions:

  1. Review all price fields
  2. Set prices for each schedule option
  3. Verify trial price conditions
  4. Test with fresh customer account
  5. Clear cache and test again

Products Not Loading in Box

Symptoms:

  • Default products don't appear
  • Box appears empty to customer
  • Products missing from preview

Check:

  1. Are products marked as "Active"?
  2. Are products in stock?
  3. Are product-to-box associations saved?
  4. Is substitution allowed if item unavailable?

Solutions:

  1. Verify products are active
  2. Check product inventory status
  3. Re-add products to box and save
  4. Enable substitutions for critical items
  5. Review product availability settings

Image Not Displaying

Symptoms:

  • Broken image icon
  • Image doesn't load on customer site
  • Image looks distorted

Check:

  1. Is image uploaded correctly?
  2. Is file format JPG or PNG?
  3. Is file size reasonable (under 2MB)?
  4. Are image dimensions appropriate?

Solutions:

  1. Re-upload image
  2. Convert to JPG or PNG format
  3. Resize/compress large images
  4. Use 800x800 pixel square images
  5. Clear browser cache

Permissions & Access

Required Access Level: Administrator or higher

Access Level Capabilities:

  • Administrator: Create, edit, delete box types
  • Kiva Admin: All features + technical settings, testing

Restricted Features:

  • Only Administrator and Kiva Admin can create boxes
  • Managers can view but not create/edit
  • Customer Service cannot access this page

Can I change a box after customers have subscribed?

Yes, you can edit box details, but be cautious:

  • Changing default contents affects new subscriptions only
  • Existing subscribers keep their customizations
  • Price changes typically don't affect existing subscriptions
  • Communicate major changes to existing subscribers

How do I discontinue a box type?

  1. Uncheck "Active" status - prevents new signups
  2. Existing subscriptions continue

Can a customer subscribe to multiple box types?

Generally no - one subscription per account. However, they can:

  • Switch between box types

What happens if a product in the box is out of stock?

  • If substitution enabled: System auto-substitutes similar item
  • If substitution disabled: Customer contacted for preference
  • Box value maintained regardless
  • Customer can approve/reject substitution

How do I create a gift box that's not a subscription?

Set "Subscription Required" to unchecked, allowing one-time purchases. Configure as gift-able in box settings.

Can different customers have different prices for same box?

Yes, through:

  • Customer-specific discount codes
  • Wholesale pricing multipliers
  • Promotional campaigns
  • Customer tier pricing (if configured)

How many products should I include in a box?

Typical ranges:

  • Small Box: 5-8 items
