Overview

The Gift Boxes - Current Orders page provides a specialized view of all gift box orders for the current delivery week. This page is designed for quick fulfillment, packing verification, and managing one-time gift box deliveries separately from regular subscription orders.

Primary Functions:

  • View all gift box orders for current week
  • Filter and search gift box orders
  • Print packing lists and shipping labels
  • Track gift box fulfillment status
  • Export gift box data for reporting
  • Manage gift sender and recipient information

Page Layout

Header Section

  • Week Selector: Choose which delivery week to view
  • Search Bar: Find specific gift boxes by customer name, recipient, or order ID
  • Filter Controls: Filter by box type, status, route, or delivery method
  • Action Buttons: Print labels, export data, bulk actions

Gift Box Order Table

Displays all gift boxes for selected week with columns:

  • Order ID - Click to view full order details
  • Sender Name - Who purchased the gift
  • Recipient Name - Who receives the gift box
  • Box Type - Type of gift box ordered
  • Delivery Date - Scheduled delivery
  • Status - Pending, Packed, Shipped, Delivered
  • Route/Shipping Method - Delivery or shipping route
  • Gift Message - Customer's gift message (if any)
  • Actions - Quick action buttons (labels, mark packed, etc.)

Summary Stats

  • Total gift boxes for week
  • Boxes packed vs. remaining
  • Breakdown by box type
  • Delivery method summary

Search & Filtering

Search across multiple fields:

  • Sender name
  • Recipient name
  • Order ID
  • Email address
  • Shipping address
  • Gift message text

Filter Options

Box Type Filter

  • Filter by specific gift box product
  • Shows only selected box type
  • Useful for batch packing

Status Filter

  • Pending - Not yet packed
  • Packed - Ready for delivery/shipping
  • Shipped - Tracking number assigned

Route Filter

Delivery Date Filter

Actions & Operations

Purpose: Generate printable lists for warehouse packing

Steps:

  1. Apply desired filters (box type, route, etc.)
  2. Click "Print Packing Lists" button
  3. Select format:
    • Individual packing slips
    • Batch packing list
    • Grouped by box type
  4. Print opens in new window

Includes:

  • Recipient name and address
  • Sender name (for reference)
  • Box contents
  • Gift message
  • Special instructions

Purpose: Generate shipping labels for gift boxes

Steps:

  1. Select gift boxes needing labels (checkbox)
  2. Click "Print Labels" button
  3. System generates labels from shipping integration
  4. Labels download as PDF
  5. Print labels

Requirements:

  • Valid recipient shipping address
  • Box weight configured
  • Shipping integration active

Mark as Packed

Purpose: Track which gift boxes have been packed

Individual:

  1. Click "Mark Packed" icon on specific order
  2. Status updates to "Packed"
  3. Timestamp recorded

Bulk:

  1. Select multiple gift boxes (checkbox)
  2. Click "Mark as Packed" button
  3. All selected orders update to Packed status

Export Gift Box Data

Purpose: Download gift box data for analysis or external processing

Export Formats:

  • CSV - Spreadsheet compatible
  • PDF - Printable report
  • Excel - Advanced formatting

Export Process:

  1. Apply filters to select desired gift boxes
  2. Click "Export" button
  3. Choose export format
  4. Select fields to include
  5. Download file

Gift Message Management

Viewing Gift Messages

  • Gift messages display in table column
  • Click message to view full text
  • Long messages are truncated with "..." (click to expand)

Editing Gift Messages

When to Edit:

  • Customer calls to update message
  • Typo correction needed
  • Message contains inappropriate content

Steps:

  1. Click on order ID to open order details
  2. Navigate to Gift Message section
  3. Edit message text
  4. Click "Save"
  5. Updated message prints on packing slip

Missing Gift Messages

Handle gracefully:

  • Many senders don't include messages
  • This is normal
  • Don't delay fulfillment for missing messages

Sender and Recipient Information

Viewing Sender Information

Available Data:

  • Sender name
  • Sender email (for confirmation)
  • Purchase date
  • Payment status
  • Order total
  • Click sender name to view their full customer account

Viewing Recipient Information

Available Data:

  • Recipient name
  • Shipping address
  • Phone number (if provided)
  • Delivery instructions
  • Note: Recipient may or may not have customer account

Recipient Becomes Customer

When gift recipient signs up for subscription:

  • Link to their new customer account appears
  • Track conversion from gift to subscriber
  • Useful for gift program ROI analysis

Use Case 1: Morning Packing Preparation

Goal: Generate packing lists for today's gift boxes

Steps:

  1. Open Gift Boxes - Current Orders page
  2. Verify correct week is selected (current week)
  3. Filter by Status: "Pending"
  4. Click "Print Packing Lists"
  5. Select "Batch packing list grouped by box type"
  6. Print and distribute to packing team
  7. As boxes are packed, mark each as "Packed"

Tip: Group by box type for efficient batch packing

Use Case 2: Corporate Gifting Order

Goal: Process large gift box order from corporate client

Steps:

  1. Search for corporate sender name
  2. Review all gift boxes from this sender
  3. Verify all addresses are valid
  4. Check all gift messages are appropriate
  5. Print labels for entire batch
  6. Generate packing list showing all recipients
  7. Coordinate with shipping for pickup

Use Case 5: Handle Gift Box Order Change

Goal: Customer calls to change recipient address

Steps:

  1. Search for order by sender name or order ID
  2. Click order ID to open order details
  3. Update recipient shipping address
  4. Verify new address is valid
  5. If already packed: Update shipping label
  6. Add note documenting change
  7. Confirm new delivery date if changed

Sorting & Display Options

  • Sender Name (alphabetical)
  • Recipient Name (alphabetical)
  • Order Date (oldest first)
  • Order Date (newest first)

  • Route/Stop Number (for delivery)
  • Box Type (for batch packing)

  • Show/hide gift messages

Gift Box Not Showing in List

Symptoms: Order exists but doesn't appear in current week view

Check:

  1. Verify delivery date is in selected week
  2. Check order type is actually "Gift Box"
  3. Confirm order status isn't "Cancelled"
  4. Try clearing filters
  5. Search by order ID directly

Common Causes:

  • Order scheduled for different week
  • Order type misclassified
  • Filters hiding the order

Cannot Print Labels

Symptoms: Print Labels button doesn't work or errors

Solutions:

  1. Verify all selected orders have valid addresses
  2. Check shipping integration is active
  3. Ensure box weights are configured
  4. Try printing one label at a time to identify problem order
  5. Verify shipping account has sufficient balance

  • Invalid recipient address

Duplicate Gift Box Orders

  • Customer may have ordered same gift twice

  • Cancel Orders: Requires Manager or higher
